About this role

The job involves:
• Diary management
• Audio typing etc. for Partner
• Assisting Partner with occasional non corporate work
• Entering incoming invoices & maintaining invoice records
• Assisting the bookkeeper with invoice preparation/dispatch, data entry etc.
• Researching travel and hotel options; booking tickets and accommodation
• Organising company events
• Booking & setting up conference calls and Skype meetings
• Ensuring all staff follow agreed office procedures
• Dealing with incoming and outgoing post
• Liaising with and overseeing the office manager in our Leeds office
• Answering the telephone
• Dealing with couriers
• Controlling stationery and kitchen supplies
• Dealing with cleaning contract
• Maintaining petty cash records
• Control of purchase order records and trade & local press subscriptions
• Dealing with suppliers/researching best value suppliers
• Dealing with franking machine supplies and top up of credit balance
• Ensuring maintenance of office equipment such as printers, copiers, fax etc.
• Maintenance of staff holiday records
• Responsibility for ensuring general office maintenance
• Liaison with outsourced IT support to ensure optimum functionality of all computer equipment at all time
• Control of recycling collection
• Maintaining records of documents and goods in off site storage
• Ensuring the office is neat and tidy at all times

Person description

The right person will:
• Have excellent computer skills (we use Apple Macs)
• Be articulate, with an excellent command of English
• Be discreet and experienced in handling confidential information
• Be calm, unflappable and able to multitask
*Have a "can do", flexible attitude
