About this role

We're looking for a confident all-rounder who can be a key part of the team at Pembroke House as Office and Customer Assistant.

CUSTOMER SERVICE
• Act as the first point of contact for all visitors to the building when there is no office volunteer available.
• Manage the main office phone line and the organisation’s info@ email address, dealing with messages promptly appropriately.
• Act as the customer service point for all space hirers, ensuring a high standard of customer care. Ensure all complaints are dealt with promptly and appropriately.

OFFICE
• Administer and set up office systems such as the key register, lending of equipment, lost property, incoming post and re-ordering office consumables.
• Take responsibility for problems with the photocopier, telephones, internet by liaising with the relevant supplier.

ROOM BOOKINGS
• Administer the room bookings process: making bookings, ensuring all paperwork is received prior to the booking, induction, arranging ancillary services (e.g. storage, refreshments), invoicing and measuring customer satisfaction.
• Work with the Caretaker to ensuring that the expected services are delivered to room bookers (set up, equipment, catering).

HR
• Support the Director of Finance and Operations by administering the recruitment process of staff and Residents
• Organise a monthly team dinner.

FINANCE
• Be responsible for the petty cash system: issuing expenses payments, recording petty cash income, reconciling petty cash weekly and depositing cash at the bank.
• Issue sales invoices using Sage 50 (training will be provided).
• Purchase agreed items with the charity’s credit card and obtain the relevant paperwork.

OCCASIONAL DUTIES
• Attend special events organised by Pembroke House which may be during the evenings or at weekends.
• Attend monthly team meetings held during the evening.
• Complete other tasks commensurate with the level of the role.

Person description

The person we appoint to this role will have a passion for customer service as they will be the first point of contact for all visitors to Pembroke House, be that in person, on the telephone or via email. You will work in a friendly office environment and come into contact with a range of people including residents of all ages and backgrounds.

You will be well organised and able to manage competing demands on your time as you will be working in a fast-paced office environment. You will have an eye for detail, the drive to see tasks through to completion and be confident working unsupervised for some of the time. You will also take on real responsibility for ensuring that hall hirers get what they are expecting, and must be confident and able to be firm when you know we are unable to fulfil a request.

The role will suit someone with some experience in office administration, preferably in a charity context, or in customer service. It is not necessary to have knowledge of Sage 50 finance system as training will be provided. As a member of a small and enterprising team you will also be ready to muck-in to support others as required.

• Educated to A Level or equivalent
• Able to work on multiple projects simultaneously
• An intermediate level user of Microsoft Office
• One year’s experience in a relevant field e.g. office administration, HR, customer service
• A people person, with excellent interpersonal skills
• A self starter, able to work independently
• A problem solver
• Able to deal with people in distress on the telephone and in person
• Committed to the ethos of Pembroke House
• Sensitive to the ethos of St. Christopher’s Church
• Able to work outside office hours occasionally, including evenings and weekends
• Ability to deal discretely with sensitive issues or confidential information

Pembroke House is a charity based in Walworth, near Elephant & Castle. We are home to a wide-range of activities for the local community and together with local residents, groups and organisations, we're building a Walworth in which people can connect, learn from one another, and work together towards a good society.

Pembroke House is going through a period of rapid growth and we have recently expanded our offer to the local community by opening a second site - The Walworth Living Room.
