The Opportunity
We want to make a step change impact on major health issues affecting people in the London boroughs of Lambeth and Southwark. In the process, we aim to learn about what works to support health in urban areas, and use those lessons to have impact nationally and beyond.

We are looking for an Executive Team Manager to join our Resources team. This is a new role assisting the Executive Team of five with complex diary management and administrative tasks, being the first point of contact for our Board of Trustees as well as line managing the Team Diary Manager.

Job description

The Executive Team Manager is one of the Resources team of seven that provides support across the Charity.

The role is responsible for ensuring the Executive Team are able to concentrate on leading the organisation, dealing with challenging, complex and fast changing diary management with senior stakeholders and across the organisation and providing the Executives with the administrative support needed. There is a need to understand the individual and business priorities and to use initiative on a daily basis.

The Executive Team Manager also manages the Team Diary Manager (PT) who works with the Senior Team of Directors to manage their complex diary requirements with external partners.

This role will be the first point of contact for our Trustee Board and responsible for coordinating the busy Board and Committee meeting schedule on an annual basis and as changes are required.

Direct Reports: 1x Team Diary Manager (PT)

Responsibilities

· Proactive diary management for the CEO and Executive Team with senior stakeholders and partners.

· Scheduling of organisation business meetings, coordination of agendas and active following up of actions arising.

· Creating the annual Board and Committee meeting schedule in liaison with internal teams and Trustees.

· Being the main point of contact for Trustees around logistical and technical issues, gathering annual return information (e.g. conflict of interests information) and coordinating the induction of new Trustees.

· Arranging and handling logistics around Trustee and Committee events (away days and dinners)

· Line management of the Team Diary Manager including coaching and development and end of year and annual reviews.

· Processing of expenses and booking travel and accommodation for the Executive Team.

· Updating Salesforce with new contacts and meeting updates as required

· General administration tasks for the CEO and Executive Team as required.

Person description

Knowledge and qualifications
- Computer literacy

Experience (essential)
- Experience using the Microsoft Office suite
- Experience of working in a busy environment
- Complex diary management at a senior level
- Line management experience

- Tact, diplomacy and discretion
- Common sense, ability to use own initiative and good at problem solving
