JOB DESCRIPTION

The Engagement Coordinator is a core member of the Drawing Room team, instrumental in the delivery of ROCK PAPER SCISSORS, an ambitious three-year programme engaging children, teachers and families through artist-led projects, invigorating drawing practice within primary education and making meaningful connections within our local community.

The Engagement Coordinator will also support other areas of Drawing Room’s growing engagement programme that reaches diverse audiences through innovative workshops, projects, events and gallery visits to expand the practice and appreciation of drawing.

The Engagement Coordinator will be responsible for the smooth running of projects with a focus on behind-the-scenes operations and some face-to-face interaction. We are looking for someone who is motivated, highly organised and has excellent communication skills to work in close collaboration with the Engagement Curator - Programme Lead and alongside children, artists, workshop assistants, public audiences and community partners.

The successful applicant must excel in planning, logistics and task management as well as have a passion for contemporary art and keen interest in how drawing can be used in educational settings and community spaces.

We are seeking a candidate who is ideally from our local community or can confidently relate to our local community. Applicants must be open-minded and excited to engage people from a variety of different backgrounds, embracing the diversity of our locality.

The successful candidate will be offered 12 months external mentorship from a relevant industry partner.

TASKS AND RESPONSIBILITIES

Administrative:

Administrative tasks relating to project planning and delivery, being a point of contact for artists, Workshop Assistants and community partners

Carry out general administrative tasks for the Engagement Programme including processing DBS checks, compiling information for funding reports, data collection etc.

Maintain project budgets providing receipts, invoices and accurate payroll information to the Finance Manager

Keep up to date with internal systems and devise efficient workflow across multiple projects

Support safeguarding procedures and maintain photo permissions

Support the Engagement Curator and Comms Coordinator to keep website and social media accounts up to date with news and projects

Coordinate a team of Workshop Assistants which includes supporting their duties, training, scheduling of work and recruitment.


Communication and creativity:

Confidently greet and address groups in community contexts

Host debrief meetings with artists, assistants and community partners and collate feedback and evaluations

Contribute to project evaluations and brainstorming sessions

Support the Engagement Curator with relevant research

Support the production of accessible and interpretive exhibition texts, activity sheets or gallery activities

Contribute to the organisations team-wide work to develop and achieve its inclusivity and relevance action plan.


Practical:

Support the documentation of workshops for publicity, funding and publication purposes

Digitally archive projects including scanning, photography and written material

Organise resources for workshops and events, including materials, equipment, staffing, transport and refreshments

Maintain orderly storage facilities for the Engagement programme

PERSON SPECIFICATION

EXPERIENCE:

A minimum of 1 years’ experience coordinating relevant projects or activities

Experience of working with children and other community groups in an arts or educational setting

Experience of leading or supporting a team.

A relevant degree or equivalent vocational experience


SKILLS:

Excellent organisational and time management skills, with attention to detail

A minimum of 1 years’ administrative experience and IT skills across Microsoft Office and Outlook

Numeracy skills and competency working with Excel spreadsheets

Excellent written and oral skills with the ability to communicate to a wide range of people

An understanding of safeguarding procedures and health and safety

Ability to keep on top of internal clerical systems and devise efficient workflow processes

Knowledge of issues around equality, diversity and inclusion and a commitment to them

Ability to effectively work remotely and in different locations as projects demand


QUALITIES:

Ability to relate to local communities

Ability to work independently, taking initiative on day-to-day duties, ensuring best practices are put in place

Good creative problem-solving skills and a flexible, proactive approach to work

DESIRABLE:

Experience working with schools and artists

Practical knowledge around art practice and material processes

Skills in Adobe Photoshop, InDesign, MailChimp and website maintenance

Drawing Room is a not-for-profit gallery, library, shop and online resource that is dedicated to opening up the world of contemporary drawing to everyone. It is internationally renowned for stimulating debate around the nature and purpose of drawing today. Through free exhibitions, artists’ talks, courses, engagement projects and a unique library it nurtures the production of drawings and promotes understanding of them. Currently working in the Bermondsey and Elephant & Castle area, Drawing Room has both an international following and meaningful connections within our local community of Southwark. Drawing Room will be moving to its permanent premises in Bermondsey in 2023.
